Stony Brook University Assistant Registrar for Scheduling in Stony Brook, New York

Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). Three [3] years of full-time administrative experience at the college or university level (student work experience may be considered). Experience working in a student service environment. Computer proficiency with Microsoft Office products or Google Apps. Experience with student enrollment systems (PeopleSoft, Banner, etc.).Preferred Qualifications:
Master's degree (foreign equivalent or higher). Technical experience with classroom assignment software (i.e. 25Live, Resource 25, Ad Astra, etc.). Experience working in higher ed Registrar's Office, Admissions or Financial Aid. Experience with classroom facilities management and/or experience scheduling classes in a higher ed academic environment. Brief Description of Duties:
The Assistant Registrar for Scheduling is the lead scheduler for the Registrar's Office and provides direct supervision of professional staff and graduate assistants. The incumbent is responsible for delegating scheduling assignments to the staff supporting the area to ensure deadlines are enforced and met. The Assistant Registrar for Scheduling handles the daily scheduling and inquiries of facilities and room assignments for the University, as well as the scheduling for academic semesters, Summer and Winter Sessions, and Final Exams. The position also coordinates scheduling training, offers support and technical troubleshooting for scheduling systems, and assists in updating the Scheduling Production Calendar for the academic departments. The position troubleshoots technical issues, field questions, and provides training for end users as they arise. The candidate should possess outstanding written, verbal, and interpersonal communication skills along with strategic and analytical thinking skills with an ability to solve problems. Experience successfully working independently, as well as part of a team with a collaborative approach to problem solving. The ability to work with diverse constituents including faculty, staff, and students plays a key part in this role. The candidate will need to effectively multi-task in a fast-paced, deadline driven environment with a high degree of accuracy. Duties:

  • Facilities Scheduling:
    • Serve as the lead for the scheduling area.
    • Manage daily inquiries for facilities/room assignments.
    • Delegate assignments to the staff that support the scheduling area.
    • Notify appropriate offices (Campus Police, Environmental Health & Safety, Facilities managers, building managers, etc.) of the class schedule and needs to ensure set-up and coverage is available as requested for facilities scheduling.
    • Oversee the preparation of scheduling materials to ensure offices receive information in a timely fashion.
    • Communicate and enforce scheduling deadlines as needed.
    • Requests for resolutions of conflicts and scheduling adjustments are to be received and evaluated on an ongoing basis throughout the academic year.
    • Perform system testing and troubleshooting on the PeopleSoft Student Administration System as it relates to Scheduling and Course Catalog.
  • Final Exam Room Assignment Scheduling:
    • Process and assign rooms for Final Exam week considering departmental requests.
    • Communicate to the Deputy Registrar on relevant changes regarding facilities for finals.
  • Scheduling Training:
    • Serve as the functional lead for scheduling to provide training and supervision.
    • Maintain the materials and hold periodic training sessions.
  • Registrar Generalist:
    • Tasks must be completed as approved in compliance with state, federal, and university policies and procedures.
    • Provide all registrar-related services, including registration, schedule adjustment, and academic record keeping using PeopleSoft.
    • Provide timely and exemplary service to all campus constituents.
    • Serve as an active member of the Registrar's Office staff which provides front counter and phone service to the campus community as a whole.
    • Serve as a lead during assigned orientation to support new students.
  • Other duties or projects as assigned as appropriate to rank and department mission.

Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.In addition to the employee's base salary, this position is eligible for $3,087 UUP annual location pay, paid biweekly.For this position, we are unable to sponsor candidates for work visas.
